This area of the app enables you to add folders and then store documents which are then accessible to parents and carers on your app.
These can include:
- Prospectus
- Policies
- Letters home
- PTA / Parent Council info
- Class blogs
How to add your first document
- Decide how you want to organise the information on your app. Documents can be stored directly in folders or you can create a nested folder structure (folders containing subfolders) that may make it easier for app users to find the correct document.
- Clicking CREATE NEW FOLDER in the top right of the window.
- Name your folder
- Choose whether to make the folder Public (visible to all app users) or Private* (visible to only a parent or parents who you assign.
*We recommend trialling this with a colleague, before adding any sensitive information to the app. - Either click ADD NEW FILE or CREATE SUB FOLDER
- Give the document or folder a name.
- When adding documents you have a choice:
Link to a hosted PDF
Navigate to the PDF you want to link to. Once the correct pdf is displaying in your browser, copy the url (the website link) and paste this into the 'hosted PDF URL' field in the mySchoolApp portal.
Click SAVE
The advantage of linking to a hosted pdf is that you only have 1 version of the PDF published. So if it changes you can be sure parents are seeing the latest version.
Upload a PDF
A PDF on a local drive can be uploaded directly by clicking 'Choose file'.
Browse your hard drive or server and select the file.
Click SAVE
Link to an online document
Links to online documents (Google or Microsoft docs, forms etc.) can be added by copying url (the website link) and paste this into the 'hosted PDF URL' field in the mySchoolApp portal.
Any documents shared in this way, should be set in Google or Microsoft to be able to be 'viewed by anyone with the link'
Additional documents can be added to the folder or click BACK TO LIST to see the list of folders created.
To add a document to an existing folder simply click EDIT for the appropriate folder
To reorder the way the folders are displayed on the app, click a folder name and drag and drop.
To maximise accessibility for all phones, we do not recommend uploading MS Office files
(e.g. .doc, .xls or .ppt) and suggest any files are saved as a PDF. It may be possible to upload other file formats but we do not recommend this and cannot offer support in these cases.
Housekeeping
To keep the app simple to navigate for parents we recommend a periodic clear out of old or out of date documents stored on the portal.
